Is QuickBooks Enough for a Publisher?
It can be, when a publisher first starts out. Any off-the-shelf accounting package, like Quick Books or Peach Tree, will help you keep track of your debits and credits.
But later, when your inventory has grown out of the garage and you want to track where your orders are coming from, or how to take advantage of electronic web orders, or EDI you quickly realize you need something more than just generic accounting software. You need software that does sales analysis, takes advantage of industry specific standardization, and that adds profits to the bottom line. For example your software should:
- Use ISBN 10 and converts to ISBN 13. The software should allow scanning of bar codes to automate processes like inventory, shipping, and invoices.
- Give you the detailed histories needed to track and collect past-due bills from your customers, taking into account returns and charge backs, something that general accounting software does not do.
- Allow a customer to proforma order books, even though they cannot fund the order now. The school district must approve the purchase. You need to be able to differentiate orders.
- Manage all types of orders like standing orders, back orders, electronic or EDI orders.
- Maintain your inventory even though it may be in multiple warehouses or at a bindery.
- Track and pay complex royalty contracts to multiple recipients, without overpaying royalties because of complimentary books or books sold for less than cost.
- Keep up-to-date pricing, customer sensitive discounts with breaks, compute source based pricing on the summer\'s catalog, with an even carton discount.
Moving to a new business system will help you to increase your income, save you time, eliminate tedious repetitive activities, make your customers and authors happy. But most importantly will make you a happy publisher as well.
